SCI Fullscope LLC ("SCI Fullscope", "we", "us") runs www.scifullscope.com, a recruiting platform that helps federal contractors find and contact cleared professionals. This policy explains what information we collect, how we use it, and the choices you have. Questions: accounts@scifullscope.com.

Who this covers

• Customers and their users: companies that subscribe to the platform and the recruiters who sign in.
• Candidates: professionals whose information a customer or SCI Fullscope adds to the platform, or who reply to our outreach.
• Visitors to our website.

What we collect

• Account information: your name, email address and company when you sign up or are invited. If you sign in with Microsoft or Google, we receive only your name and email address from that account to identify you.
• Recruiting information: job requirements, resumes and candidate details (such as name, contact details, work history, skills, and stated clearance and polygraph status) that customers or SCI Fullscope add, and the notes and decisions recruiters record.
• Email content: when a recruiter connects their Microsoft 365 or Gmail mailbox, the platform sends the outreach emails they approve from that mailbox and reads replies to those emails so they appear in the platform. Access covers only the mailbox the recruiter connects and can be disconnected at any time.
• Usage and security records: sign-ins, actions taken in the platform (kept as an audit trail), and technical data such as IP address and browser type.
• Cookies: a single sign-in cookie to keep you signed in. We do not use advertising or tracking cookies.

How we use it

• To provide the platform: matching candidates to jobs, drafting and sending recruiter-approved emails, organizing replies, and reporting.
• To keep accounts secure, prevent misuse, and keep an audit trail of who did what.
• To contact customers about their account and the service.

We do not sell personal information, and we do not use it for advertising.

Artificial intelligence

The platform uses AI services to read resumes and replies, score job fit and draft emails. Content is sent to our AI provider (Anthropic) only to perform these tasks, under terms that do not allow it to be used to train their models. A person reviews and approves emails before they are sent to candidates. If a customer uses the optional AI portrait feature, a text description is sent to OpenAI to create the image.

Information from Google

Signing in. If you choose "Sign in with Google", we request only your name, email address and basic profile (the openid, email and profile scopes), and use them only to sign you in and show your name in the platform.

Connecting a Gmail mailbox. If a recruiter chooses "Connect with Google" on Email accounts, we also request the gmail.modify scope for that one mailbox. We use it only to:

• send the recruiting emails and replies that the recruiter has approved, from their own mailbox;
• read replies to those emails (and other recruiting replies in the inbox) so they appear in the platform's Action queue;
• read the recruiter's recent sent emails to find their email signature; and
• label handled replies "SCI Processed" and move them out of the inbox, as the platform does for Outlook.

Connecting a calendar. When connecting a mailbox, the recruiter can also allow their own calendar (Google: the calendar.events and calendar.freebusy scopes; Microsoft: Calendars.ReadWrite). We use it only to see when the recruiter is busy, so calls with candidates are booked at free times, and to create, move or cancel those call events (with the candidate as the invitee). We don't read the details of other events beyond their times and titles, and the calendar is optional: the mailbox works without it.

We never delete email, never read Google Drive or Contacts, never read other people's calendars, and never use Gmail or Calendar data for advertising. The text of emails the platform reads may be processed by our AI provider to classify replies and draft responses for the recruiter; it is not used to train generalized AI or machine-learning models. People at SCI Fullscope do not read Gmail data except with the recruiter's permission, for security purposes, to comply with the law, or as part of the platform's recruiting features the recruiter uses. The access token is stored encrypted, and you can disconnect the mailbox from Email accounts or remove SCI Fullscope's access at myaccount.google.com/permissions at any time.

SCI Fullscope's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Information from Microsoft

"Sign in with Microsoft" provides your name and email address. Connecting a mailbox grants the platform permission to send and read mail in that one mailbox, only for the recruiting work described above. Access tokens are stored encrypted, and you can disconnect the mailbox from the platform or from your Microsoft account at any time.

Sharing

• Within a customer workspace: information is visible to that customer's users. Each customer's data is kept separate from other customers'.
• With SCI Fullscope staff, who support customers and may submit candidates to a customer's roles.
• With service providers that host and run the platform for us (Microsoft Azure for hosting and email, Anthropic for AI features), bound to protect the information.
• When required by law, or to protect the rights and safety of our users and the public.

Candidates

If you received an email through the platform, it was approved by a recruiter. Every outreach email includes a way to opt out; if you reply that you don't want to be contacted, you are added to a do-not-contact list. Clearance and polygraph details are recorded as you or your resume state them and are not treated as verified unless the customer confirms them. To see, correct or delete your information, email accounts@scifullscope.com.

Security and storage

The platform is hosted in the United States on Microsoft Azure. Data is encrypted in transit, mailbox access tokens are encrypted at rest, and access is limited by role. No system is perfectly secure, but we work to protect your information and will notify affected customers of a breach as the law requires.

How long we keep it

We keep account and recruiting information while the customer's subscription is active, and delete or anonymize it within a reasonable time after it ends or when deletion is requested, unless we must keep it longer by law. Where stored, the text of email replies is deleted automatically after a set period (90 days by default).

Your choices

• Ask to see, correct, export or delete your information.
• Opt out of recruiting emails at any time.
• Disconnect a Microsoft or Gmail mailbox (and its calendar), or remove the platform's access from your Google or Microsoft account.

Children

The platform is for professional recruiting and is not directed to anyone under 18.

Changes

We will post any changes on this page and update the date above. If a change is significant, we will tell customers by email.
